NOTE! Items that are part of open orders, in multiple devices, or have been picked CAN NOT be changed. You have to clear all of those hinders before starting the move from consumable to durable.
Changing item type
Once an item has been released you can no longer change the type of the item from consumable to durable, or vice versa.
The manual way to fix this is to unload the cabinet from the product, remove it from the portal, add it back again and change the type before assigning it to the cabinet again.
An option for this time-consuming task of manually adding and removing items is to use the export/import function. Here is how you can do it:
Export all the necessary data
Start by downloading all the necessary data from Administration > Export
Duplicate the items
Once you have the data, the process starts with adding the items you want to change again, but with a different name/ID. You basically need to duplicate the items.
Mark the line in the items file and copy it of the item that you want to change from consumable to durable. Change the following 4 columns:
- ID(TEXT) to empty
- Item name (TEXT) to have '-dup' at the end
- Item ID (TEXT) to have '-dup' at the end
- Type (PREDIFINED VALUE) to Durable
Upload the items with the import function, you find it under Administration > Import > Items
You should now have the same items twice in the list, both with and without '-DUP' at the end to know which ones you added.
Note! You can add anything at the end of the item id, as long as you know which one is new and which one is the old item.
Assign Item to Device
Now you have to add the Item to a device, actually, the same device as the item already exists.
1. ID (TEXT) to empty
2. Min quantity (NUMBER) set to 0
3. Item ID (TEXT) to have '-DUP' at the end
Upload the item device assignment with the import function, you find it under Administration > Import > Item device assignments
For durables items, you have to have a Min quantity. You don't have to use it, so in this case, we assume you won't and therefore set it to 0.
You have now added the item and assigned it to a device. Not to a location but to a device.
Assign Item to Location
The beauty of the system is that you can store more than one item in each location. That allows you to store the new item in the same location as the old one.
Use the export data Item Location Assignments to upload the data where the item should be located.
NOTE! You have to lock the machine before uploading any changes to the locations. Go to Data management > Device > Click the device and choose 'Lock device' from the menu at the top.
When a device is locked, no operator can use it until you unlock it again.
1. Set ID (TEXT) to empty
2. Change the item ID to have '-dup' at the end.

Set quantity of the location
Now it's time to set the quantity of the new item, you want to assign the same amount that you already have. Therefore copy the line in the item location quantities spreadsheet.
1. Change the item ID to have '-dup' at the end.

Remove the old item
The item is now added to the same location and with the same quantity as before. The only thing left is to remove the old item. For this to work, keep the device locked and import the file but in reverse order
Keep only the lines with the data you want to remove and set the 'Is deleted' column to TRUE. Do this for all 4 files and upload them in the following order:
1. ItemLocationQuantity
2. ItemLocationAssignment
3. ItemDeviceAssignment
4. Item

Once they have all been uploaded you are basically done. Only one thing left to do, rename the new item to the old item name/ID.
Rename the new item
Export the Item file again. Open it in excel and replace all the '-DUP' with nothing. Upload the file again and you now have the same Item id and name on the Durable item as you did on the consumable item you removed.
NOTE! Don't forget to unlock the device so the operators can start using the system again!
